**Guest Concierge Role****Company Description**A boutique medical practice located in Newport Beach, Ca for over 25 years. The practice specializes in cutting edge treatments across aesthetic, regenerative, sexual wellness and hormone medicine for men and women. This is a small-sized practice with incredible opportunities for growth.**Position Summary:**We are seeking a Patient concierge who thrives on building and maintaining relationships and creating emanate, luxury experience, preferably with experience in a professional medical setting. This is a full-time, on-site role that is part of our patient facing team. In this role, you will be the first point of contact for our valued guests, providing exceptional customer service and ensuring a seamless and positive experience from initial inquiry to appointment completion and follow-up.**Responsibilities:**- Guest Relations: - Greet and welcome guests warmly and professionally. - Answer phone calls and emails promptly and efficiently. - Schedule and confirm appointments. - Manage guest inquiries and requests, including appointment changes, prescription refills, and referrals. - Handle guest concerns and resolve issues promptly and professionally. - Collaborate with other members of the guest relations team in order to offer a seamless experience that always puts our patients first.- Administrative Support: - Maintain accurate patient records and data entry. - Assist with check-out and billing processes. - Prepare and maintain patient files. - Assist with office organization and inventory management. - Participate in team meetings and contribute to practice improvement initiatives.- Practice Operations: - Assist with front desk operations, including check-in and check-out procedures. - Ensure the reception area is clean, organized, and welcoming. - Support the Medical Assistant team in making sure all rooms are stocked, cleaned and proper turn-over between patients in order to maintain an efficient flow. - Assist with marketing and outreach initiatives as needed. - Support all of our rock-star providers in an effort to deliver exceptional patient care.Qualifications:- Professional and polished demeanor.- High school diploma and some college preferred.- 1-2 years of experience in a customer service role, - Excellent communication and interpersonal skills.- Strong organizational and time management skills.- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).- Experience with electronic health records (EHR) systems preferred.- Ability to work independently and as part of a team.- Strong attention to detail and accuracy.- Excellent customer service orientation with a focus on exceeding guest expectations.
